We know there are a lot of things you need to know in order to make the best decision on where to host your wedding. Please see below for some of the most frequently asked questions we receive, and feel free to ask any questions that may not be answered here.
WEDDING DEPOSIT
Q: How much of an advanced deposit will I need to make prior to the wedding?
A: To reserve your wedding date, a non-refundable $500 deposit will be required. Six months prior to your wedding date, the site fee will need to be paid in full.
LODGING AT KIRKWOOD
Q: Does a Sunday night stay count as a weekend or midweek?
A: Sunday nights are counted as midweek stays in lodging.
Q: Where is the complimentary lodging located for the bridal suite?
A: Most often in The Lodge at Kirkwood, but occasionally in Snow Crest or the Mountain Club depending on availability.
Q: How do my guests receive the group discount?
A: We will establish a lodging block for your party using the hyphenated last names of the bride and groom. When guests call to make their reservations for your weekend, they will need to refer to your lodging block in order to receive the discounted rate. Discounts will be taken at time of check-out once we know the full size of the lodging block.
Q: How much of a discount will my guests receive?
A: Discounts on lodging vary based on size of lodging block. If your party reserves 10 to 19 rooms, guests receive a 10% discount. Reserving 20 to 29 rooms will yield a 15% discount. Larger parties reserving 30 or more rooms will be granted a 20% discount.
Q: How soon can guests begin making reservations?
A: As soon as the lodging block is in place. Once we receive your deposit and signed contract, we will establish the block and guests can begin making reservations.
Q: Are there any dog-friendly units at Kirkwood?
A: Unfortunately not. Each of our lodging units is individually owned and we act as a property management company representing our owners. In order to ensure personal belonging in the units are not destroyed, we must strictly enforce a no-pet policy. Service animals of course are a special exception to the rule and will be permitted to accompany their owners.
Q: Can resort staff assist us in delivery of welcome packages to guests?
A: Most definitely. Simply leave the welcome packages with our front desk team and make sure they are clearly labeled for the appropriate recipient. We will give them to your guests when they arrive to check in.
VENUES
Q: My event is outdoors. What are my options if there is inclement weather?
A: We always reserve a back-up indoor location for all of our outdoor events. On the morning of your event, if it looks like we will need to defer to the back-up location we will notify you and your guests of the location change.
Q: In the site information, it says you include seating for up to 120. What happens if I have more than 120 guests?
A: If your guest list is more than 120 we will need to rent chairs, tables, and linens for the additional guests. The rental equipment is not included in the site fee – instead, we will relay the cost directly to you based on what we are charged by the vendor.
Q: Are we able to get specialty linens in different colors to match our theme?
A: Most definitely. We will need to look through a swatch book to select appropriate colors and then rent these through our vendor. Any specialty linens will be at a charge of $2.00 per table cloth and $0.09 per napkin.
Q: Is a ceremony arbor included in the site fee?
A: Yes, and if you would like to decorate it please feel free to do so. We simply as that you do not use tacks or nails to secure items to the arbor, however tape or wires are fine.
Q: How long are we granted use of the reception venue?
A: Up to eight hours or until 10:00pm, whichever comes first.
Q: If we would like to continue the party after 10:00pm, what are our options?
A: We can reserve a separate after-party location at either Bub’s Pub or the Kirkwood Inn which can go as late as 2:00am.
CATERING
Q: If we choose a menu that does not include a vegetarian option, how do we feed our vegetarian guests?
A: Our team can prepare a vegetarian item separately for the same per person cost as the other menu items that you will be serving. We will simply prepare this item separately and serve it directly to the guest at their seat.
Q: Can we make substitutions in the pre-designed menu packages?
A: Most definitely. At Kirkwood, we are entirely flexible to your needs. If you would like, we can create a completely customized menu specific to your wishes. Just let us know what you would like to do and we’ll create a menu based on your requests.
Q: What is the pricing for children’s meals?
A: Children’s meals are half the price of adult meals.
Q: What is the cost of a champagne toast? Or is it included in the package?
A: Champagne toasts vary in cost depending on the type of champagne you choose and number of guests in your party. When requesting your proposal, ask that we include a champagne toast in the menu.
